Using online help

This page allows you provide notes for a transaction / entity and attach documents for the transaction / entity.

The “Attach Notes” page appears.

The system displays the following fields in the group box:

Transaction No. / Entity.

The number identifying the transaction for which the notes have to be appended.

Amendment No

The Amendment Number for the Transaction / Entity if available.

Status

The status of the notes.

The system displays the document level notes / line level notes (if any) attached already for the Transaction no. / Entity.

Standard Notes Id.

The code identifying the standard notes. The Id must be valid for the login organization unit.

Default For

Use the drop-down list box to specify the default position of the description of the standard notes id.

The System will default the description of the standard notes id selected in

Document Level Notes

The user can modify the defaulted notes description or add new observation to the document.

The system displays the following in the Line Level Notes multiline:

Line No

The Line Nos. of the Transaction No / Entity if available

Line Entity

The Entity details of the Line Nos. of the Transaction No / Entity. Entity can be item codes / usages / credit / debit documents etc.,

Notes

The user can modify the defaulted notes description or add new observation to any or all the lines of the Transaction no/ Entity.

Attach Document

The user can attach document through icon. On clicking the icon a “File Upload” window opens to upload the document.

The system updates the login ID of the user to the modified by and the system date to the modified date to the Transaction No. / Entity.

Note: A multiline “Attach Document” opens on clicking the Attach More Documents button to attach documents.

Level

Use the drop-down list box to specify the level of document attachment. The combo is loaded with options “Document” and “Line”.

Line No.

Use the drop-down list box to specify the line number .The combo is loaded with values only when Line is selected in the “Level” combo.

Attach Document

The user can attach document through  icon. On clicking the icon a “File Upload” window opens to upload the document.

Attached On

The date on which the document was attached.

Ref.Doc.Key

Use the drop-down list box to select the Reference Document No. of the Transaction No. / Entity. All the Reference Document Numbers as applicable for the Transaction No./ Entity will be loaded in the combo. The Values will be loaded as a combination of Reference Document No, Transaction OU, Transaction Type and Amendment Number (if any). On launch of the page the combo will be defaulted with Blank.

 The system displays the following fields in the “Reference Document Information” group box:

Ref.Doc.No

The number identifying the transaction for which the notes have to be appended.

Amendment No

The Amendment Number for the Transaction / Entity if available. Else the Filed would be left blank.

Ref.Doc.Type

The Transaction Type of the Reference Document No.

Originating Point

The Organization Unit of the Reference Document No.

The System displays the document level notes / line level notes (if any) attached already for the Transaction no. / Entity.

Document Level Notes

Line Level Notes

The user can modify the defaulted notes description or add new observation to the document.

The user can modify the defaulted notes description or add new observation to any or all the lines of the Transaction no/ Entity.

The system updates the login ID of the user to the modified by and the system date to the modified date to the Reference Document No.

The system displays the following:

Created By

The login ID of the user who created the Transaction No. / Entity.

Created Date

The date on which the Transaction No. / Entity was created.

Last Modified By

The login ID of the user who modified Transaction No. / Entity last.

Last Modified Date

The date on which the Transaction No. / Entity were last modified.

Attaching notes – An overview

You can retrieve the standard note Id defined for some other document and attach it to the current document. This page allows you to record and comments or observation regarding the document.

The system updates the login ID of the user to the created by and the system date to the created date if the standard notes Id is created for the first time. The system maintains the modification history if it has been already created.
